This Privacy Policy explains how Holiday World International Travel Limited, trading as School Trip World, collects, uses and protects personal information.
Who we are
Holiday World International Travel Limited is the data controller for the personal information described in this policy. We are registered in England and Wales under company number 01022514. Our registered office is Office 6, 4th Floor, Oldway House, Castle Street, Merthyr Tydfil, Wales, CF47 8UX.

Information we collect
Depending on how you use our services, we may collect:
- identity and contact details, including names, school or organisation, email address, telephone number and postal address;
- enquiry and booking details, including destinations, travel dates, group size, accessibility, dietary, medical or other travel requirements that you choose to provide;
- communications and records of your correspondence with us;
- payment and transaction records. Payment card details are handled by our payment providers and are not stored in full by us;
- marketing preferences; and
- technical and usage information, including IP address, browser, device, security logs and website interactions, subject to your cookie choices.
We normally receive information directly from you, a school, group leader or another person organising travel on your behalf. We may also receive information from travel suppliers and service providers where this is needed to manage an enquiry or booking.

Where sensitive information is needed for safe travel, such as health, dietary, accessibility or religious requirements, we use it only where an additional lawful condition applies, normally your explicit consent or where necessary to protect a person’s vital interests. Please provide only information that is relevant to the trip.
Children’s information
School and group travel may involve information about children. This is usually supplied by an authorised school, group leader, parent or guardian. We use it only where necessary to arrange and safely deliver the trip. Schools and group leaders should make sure they have the authority to share it and provide appropriate information to parents, guardians and travellers.
Who we share information with
We share information only where needed with:
- transport, accommodation, attraction, insurance and other travel suppliers involved in a quote or booking;
- schools, group leaders and other authorised trip organisers;
- payment, website hosting, email, document, security and other technology providers;
- professional advisers, insurers, regulators, law enforcement and public authorities where required; and
- travel protection and trade bodies, including ABTA and the Civil Aviation Authority, where relevant to a booking or legal obligation.
Our website uses Google reCAPTCHA to help prevent spam and abuse. If you allow optional cookies, it also uses Google advertising measurement. Google’s handling of information is governed by its own privacy terms.
International transfers
Travel arrangements may require information to be sent to suppliers outside the UK. Some technology providers may also process information in other countries. Where UK data protection law requires it, we use an adequacy regulation, approved contractual safeguards or another lawful transfer mechanism.
How long we keep information
We keep information only for as long as it is needed for the purpose collected and to meet legal, tax, insurance and dispute requirements. As a general guide:
- enquiries that do not lead to a booking are normally kept for up to 24 months after the last contact;
- booking, customer and transaction records are generally kept for up to seven years after the trip;
- marketing records are kept until you opt out or after a period of inactivity; and
- routine website security logs are generally kept for up to 90 days, unless they are needed to investigate an incident.
We may keep information for longer where a legal requirement, complaint, claim, safeguarding concern or investigation requires it.
Your rights
Depending on the circumstances, you may have the right to ask for access to your personal information, correction, deletion, restriction, objection, data portability, or withdrawal of consent. Withdrawing consent does not affect earlier lawful use.

Security and updates
We use appropriate organisational and technical measures designed to protect personal information. No internet service is completely secure, so please do not send unnecessary sensitive information through a general enquiry form.
